Getting started

Sign in and reset your password

Everyone at your company signs in at app.limoscale.com with your Company ID, their email and their own password.

The LimoScale sign-in pageNumbers match the steps below
  1. Enter your Company ID. This is the short name LimoScale set up for your company, for example peachstate. It never changes.

  2. Enter the email address your account was created with.

  3. Enter your password. Passwords are at least 14 characters.

  4. Click Sign in. You stay signed in for 8 hours.

  5. Forgot your password? Click Forgot password?, enter your Company ID and email, then open the link we email you. The link works once and expires in 60 minutes.

Change your password

Click your name at the bottom of the left menu, then Change Password.

Enter your current password and a new one of at least 14 characters. Other devices signed in to your account are signed out.

Signed in with a temporary password?

If your owner or LimoScale support set a temporary password for you, LimoScale asks you to choose a new one right after you sign in.

Bookings

The Booking Center holds every quote and booking from all of your booking forms, from the first quote through payment.

Booking CenterNumbers match the steps below
  1. The top scorecards show all your bookings. When you search or use a filter, every scorecard counts only the bookings that match, and Quotes says Matching filters. Won Revenue counts paid bookings and paid overages, but not canceled bookings. Click Won Revenue, Quoted Value or Lost to filter the table to just those bookings.

  2. The channel cards show quotes from each form: Booking Page, Chatbot, Wedding Page, Wine Tour Page and Mobile App. Only forms that are turned on in Booking Forms (and the mobile app, once it’s on for your company) get a card; quotes from a form you’ve turned off can still be found with the Channel filter. Click a card to filter by it. Quotes created with New Quote don’t have a card; find them with the Channel filter set to Admin Portal.

  3. Search by name, email, phone, quote ID or vehicle. You can also filter by status and by priority (HOT, WARM or COLD).

  4. Choose a date range: All time, Today, Yesterday, This Week, Last Week, This Month, Last Month, Last 7, 30 or 90 Days, Last 12 Months or This Year. Pick Custom Date Range to choose exact dates. The Dashboard, Google Ads and Sales KPI pages use the same choices.

  5. Click Search. Each row’s Actions let you View the booking, Edit Price, Copy Pay Link, Send Email (a confirmation or receipt) and, for Owners and Managers, Delete.

  6. Import GHL CSV loads an Opportunities export from GoHighLevel. It opens a review screen first, so you can see how it compares with your bookings before anything changes. See Import and compare a GHL CSV.

  7. Export CSV downloads every booking that matches your current filters, search and date range: up to 10,000 bookings with 34 columns, including the fare breakdown, GHL fields, priority and confirmation number.

Create a quote for a customer

Customer called or emailed? Click New Quote to price every vehicle for their trip and save the quote. See Create a quote.

Email the customer

Click Send Email on a booking to email the customer a Reservation Confirmation, or a Payment Receipt once the booking is paid. See Email confirmations and receipts.

Mobile App bookings

Quotes and bookings made in your mobile app appear with the Mobile App channel. A confirmed round trip from the app creates a second $0 booking for the return leg, with -return at the end of its quote ID, so you can dispatch it separately. The payment stays on the original booking. See Mobile app.

GHL View

Switch to the GHL View tab to see the same bookings as a board grouped by GHL pipeline stage. See GHL View.

Priority scores

Every quote gets a score from 0 to 100 based on how soon the trip is, the fare, Google Ads clicks, round trips, wedding or hourly service, mobile app bookings and customers already in GHL. 70 and up is HOT, 40 to 69 is WARM and below 40 is COLD. Work HOT quotes first.

Owners and Managers can click Recalculate Priority to rescore every quote, for example after importing a CSV.

Clearing test data (Owners only)

The Danger Zone at the bottom of the page deletes every booking, quote and payment record for your company. Type DELETE ALL BOOKINGS to confirm. This can’t be undone, so only use it to clear test data before a fresh import.

Create a quote

Build a quote for a customer who calls or emails. Every vehicle is priced for the trip, you pick one, add the customer, then save it or walk away.

Before you start

Owners, Managers and Staff with Bookings Read & write access can create quotes. Add your vehicles and prices in Fleet & Pricing first.

Bookings → New Quote: trip detailsNumbers match the steps below
  1. Open Bookings and click New Quote. Choose the service: To Airport, From Airport, Point-to-Point or Hourly / Charter.

  2. For airport trips, pick the airport and terminal. The list comes from your Booking Page settings in Booking Forms. If you haven’t added airports there, type the airport address instead.

  3. Enter the pickup and drop-off addresses and pick the matching suggestion. Click + Add stop for stops along the way. For Hourly / Charter, the drop-off is optional.

  4. Enter the date, pickup time, passengers and luggage. Add the flight number, car seats, a promo code, meet & greet (From Airport only) or a round trip with its return date and time if needed.

  5. Click See vehicles & prices. LimoScale measures the route and prices every active vehicle.

Pick a vehicle

Every active vehicle shows its seats, bags and total price for this exact trip, using the same prices as your booking forms. Click a vehicle to choose it and move on to the customer.

A vehicle with fewer seats than your passenger count is flagged, but you can still choose it. A vehicle with no price for this service is greyed out.

Add the customer

Enter the customer’s first and last name and at least an email address or a mobile number. Check the text-message box only if the customer agreed to receive texts about this quote. Add notes for your team if you like, then click Continue.

Save or exit

Check the summary, then choose:

Save quote works exactly like a quote from your website booking page. It adds the quote to the Booking Center with the Admin Portal channel, assigns it to whoever is on shift through Lead distribution, creates the customer’s payment link and sends the quote to your GHL New quote webhook.

Exit without saving closes the window. Nothing is created and nothing is sent to GHL.

After you save

You’ll see the quote ID, the total, who the quote was assigned to and whether GHL received it. Click Copy to copy the payment link and send it to the customer, or Open quote to open the booking.

Tip

Prices are always recalculated when you save. If a price changed after you picked the vehicle, LimoScale shows the updated prices so you can choose again.

Tip

If GHL shows Not sent, turn on Auto-send quote to GHL or booking sync in Integrations → GoHighLevel. If it shows failed, open Webhook Log to see why and resend it.

Import and compare a GHL CSV

Upload an Opportunities export from GoHighLevel to see how it matches your Booking Center, fix only what’s different, or import everything.

Before you start

In GHL, open Opportunities, choose all pipelines and All Time, then export to CSV. In LimoScale, open Bookings and click Import GHL CSV. Only Owners and Managers can import.

  1. Import all updates every matched booking from GHL and adds the opportunities missing from LimoScale. It asks you to confirm, shows progress, then checks everything again. Bookings that exist only in LimoScale are never touched.

  2. The summary compares LimoScale with the CSV: total, Open, Won and Lost counts, total value and won value. Differences are shown in red.

  3. Only in LimoScale lists bookings with no matching opportunity in the CSV, such as test quotes or opportunities deleted in GHL. Select the ones to remove and click Delete selected from LimoScale.

  4. Status differs and Value differs list matched bookings where LimoScale and GHL disagree. Select rows and click Update selected from GHL to copy GHL’s status, stage, payment and value. Duplicates and Only in GHL work the same way, with delete and import buttons.

  5. Download report CSV saves every difference in one file.

How bookings are matched

Each GHL opportunity is matched by its Opportunity ID, then by Quote ID. The comparison covers all of your bookings, not just the ones on screen.

Be careful with paid bookings

Import all applies GHL’s status to every matched booking, including paid ones. If GHL shows a paid booking as Lost, importing marks it canceled in LimoScale. When in doubt, use Status differs and update only the rows you’ve checked.

Tip

GHL’s own dashboard often defaults to the last 30 days. Switch it to All Time before comparing totals with LimoScale.

GHL View

Your bookings as a board grouped by GHL pipeline stage, laid out like your GHL opportunities screen. Find it in the GHL View tab at the top of Bookings.

  1. Open Bookings and click the GHL View tab. Booking View is the table you’re used to. LimoScale remembers which tab you used last.

  2. Search by customer, quote ID, address, vehicle, salesperson or stage.

  3. Sort cards by newest, pickup date, value or recently updated.

  4. Filter by the booking form the quote came from.

  5. Each column is a GHL stage with its number of opportunities and total value. Click ‹ to collapse a column you don’t need; click › to open it again.

  6. Each card shows lead ownership, pickup and return times, addresses, value and payment status. Every card in a Lost column is grey with a LOST badge, and every card in a Won, Booked, Moved to LA, Confirmed or Completed column is green with a WON badge. In other columns, a card is marked by its own GHL status. Click a card to open the booking.

Where stages come from

A new lead shows as Quoted as soon as its quote reaches your GHL quote webhook. After that, the stage changes whenever GHL sends a stage change to LimoScale. Set that up once in Integrations → GoHighLevel.

Columns are ordered like a booking pipeline: Quoted, then discount stages by percentage, then Lost, Won, Moved to LA and Completed Trips. Quotes with no stage yet appear in No GHL stage.

Tip

Each stage shows 20 cards at a time. Click Show 20 more at the bottom of a column to load the next ones.

Tip

To move between stages, use the scroll bar above the columns or the ‹ › buttons at each end. The scroll bar and the stage names stay pinned under the page header as you scroll down.

Take payments on a booking

LimoScale holds the customer’s card first and charges it only after you confirm the trip, so you never charge for a ride you can’t cover.

  1. Edit Price changes the price before the customer pays. Enter the new total in Override price. If booking sync is on, the new price is sent to GHL.

  2. Create / Get Payment Link gives you the booking’s secure payment link. Copy it and send it to the customer. The same link always shows the latest price.

  3. When the customer pays, the card is authorized and the booking shows Booked Not Paid. Once you confirm the vehicle and driver, click Capture Payment. The booking changes to Booked - Paid.

  4. Refund / Release Payment releases the hold if you haven’t captured yet, or refunds a captured payment. Either way the booking is canceled.

  5. Trip ran long? Under Bill overage, enter the extra minutes, hourly rate and reason, click Calculate, then Bill Saved Card. This works after the booking is Booked - Paid and the customer agreed to save their card.

  6. Customer paid another way, such as by phone in a different booking system? Click Already Paid?, confirm the amount collected, how it was paid and an optional confirmation number, then click Yes, mark as paid. The booking becomes Booked - Paid and GHL receives the same Purchase webhook as an online payment, so your GHL workflows and Google Ads purchase conversion still run. No card is charged.

Tip

After you capture the payment, send the customer a receipt with Send Receipt in the Email customer section of the booking. See Email confirmations and receipts.

Tip

Card holds usually expire after about 7 days. Capture before then, or send a new payment link.

Tip

Payments go to the Stripe account in the mode your company has set to active (sandbox or live). See Integrations → Stripe Connect.

Tip

Mobile app bookings work the same way. The customer agrees to save their card before paying in the app, so Bill Saved Card works once the booking is Booked - Paid. For the $0 return leg of an app round trip, the overage is charged to the card saved on the original booking.

Email confirmations and receipts

Email a customer their Reservation Confirmation, or a Payment Receipt once they’ve paid, straight from the Booking Center.

Before you start

In Company Settings, add your Contact email so customer replies reach you, and paste your Terms & Conditions if you want them on the confirmation. Owners, Managers and Staff with Bookings Read & write access can send emails.

Checking a Reservation Confirmation before sending it
  1. In Bookings, click Send Email on the booking’s row. You can also open the booking with View and use Send Confirmation or Send Receipt in the Email customer section.

  2. Check the Send to address. It starts as the customer’s email; change it to send a copy somewhere else. The customer’s email on the booking doesn’t change.

  3. Choose Reservation Confirmation or Payment Receipt. The receipt is available only once the payment has been captured and the booking shows Paid.

  4. Check the preview: the subject, who it’s from, where replies go and the email itself. Click Send email.

What each email includes

The Reservation Confirmation has your logo, the confirmation number, pickup date and time, estimated drop-off, service, passenger, vehicle, flight, payment method, pickup, stops and drop-off, the charges (reservation total, payments, authorizations and total due) and your Terms & Conditions.

The Payment Receipt has the card used, the amount paid, each transaction (including billed overages), the trip details, routing and charges.

The confirmation number is the LA confirmation number when the booking has one, otherwise a short reference from the quote ID.

Who it comes from

Emails are sent from LimoScale’s address with your company name as the sender, for example May’s Limousine Service <no-reply@limoscale.com>. When the customer clicks Reply, the reply goes to the Contact email in Company Settings.

Tip

No Terms & Conditions saved? That section of the confirmation is left blank. Add them in Company Settings.

Tip

Each email you send is listed under Email customer in the booking and in the booking’s activity. Canceled bookings can’t be emailed.

Setup

Fleet & Pricing

Your vehicles and every price your booking forms quote from. Each vehicle has its own mileage tiers and hourly rates, and fees apply across your whole company.

  1. Click Add vehicle to add a new vehicle card.

  2. Fill in the card: vehicle name, passengers, luggage, sort order, image link, meet & greet fee, minimum hours, hourly rate, peak hourly rate (midnight to 7 AM) and the per-mile rate after your last tier. Under Distance Pricing Matrix, add mileage tiers, for example the first 15 miles at $5.50 a mile. Leave Active checked, then click Save vehicle.

  3. Export JSON downloads a backup of your fleet and fees.

  4. Import JSON loads a backup. You’ll see a preview of what will be added or updated before anything changes.

Remove a vehicle

To stop offering a vehicle for a while, uncheck Active and click Save vehicle. To remove it for good, click Delete vehicle on its card and confirm. Owners and Managers can delete vehicles. Its prices are removed and it disappears from your booking forms, mobile app and New Quote. Past bookings keep the vehicle’s name. This can’t be undone.

Fees & Global Pricing

The Fees & Global Pricing panel sits at the top of the page, above your vehicles. Use it to set gratuity %, tax %, fuel surcharge %, car seat fee, the airport and point-to-point reduction %, your promo code and promo %, the early-morning multiplier and when early morning ends, and Get-Away Vehicle base hours. Click Save fees & pricing.

Office drive time for hourly trips

Turn on office drive time to bill the drive from your office to the pickup, and from the drop-off back to your office, on Hourly / Charter trips. Set Complimentary drive time (minutes each way) to how much of each drive is free (60 minutes if you leave it alone); anything longer is added as extra hours. It also needs your office address saved with Use office address for calculating drive time checked in Company Settings.

Get-Away Vehicle pricing

A Get-Away ride is priced at the base hours you set. If Compare Get-Away price against point-to-point is checked, LimoScale also prices the actual route and charges whichever is higher. Get-Away rides never include office drive time.

These apply to every vehicle. Use the Preview distance rate box on a vehicle card to see what a distance would cost.

Price any trip with the same engine your customers use, without creating a quote or booking. Use it to check your prices before going live.

  3. Enter the miles, or the hours for hourly trips.

  4. Set the pickup time. Early-morning pickups use your early-morning multiplier. Add a return time, car seats, a promo code, round trip or meet & greet if you need them.

  5. Click Calculate Test Quote.

  6. Check the breakdown: matrix fare, reductions, gratuity, tax, fuel surcharge, extras, promo and total.

Booking Forms

Set up the forms customers use to get quotes: Booking Page, Chatbot, Wedding and Wine Tour. Which forms you have depends on your plan.

  1. Pick a form tab: Booking Page, Chatbot, Wedding or Wine Tour.

  2. Check Form enabled, then set the minimum booking notice in hours and your terms and privacy links.

  3. Choose the services customers can pick, add your airports and terminals, choose a brand color and pick which vehicles to offer. The preview on the right updates as you go.

  4. Click Install on website when you’re ready to put the form on your site.

  5. Click Save changes. Changes go live on your website form right away.

Wine Tour

Add each wine tour destination, the packages you offer (number of wineries and total hours) and the wineries customers can choose from.

A package is priced from the vehicle’s hourly rate × package hours, unless you set a fixed price for that vehicle.

Chatbot and Wedding

These work like the Booking Page. The Chatbot also has a name and greeting, and Wedding has its own services such as bridal party, guest shuttles and Get-Away car.

Setup

Install a booking form on your website

You install each form once. It always loads your latest saved settings, so later changes don’t need a reinstall.

Before you start

First, in Integrations → GoHighLevel (GHL), turn on LimoScale quote intake, add your website address to the allowed origins and copy your publishable quote intake key. The key is shown only once.

  1. Enter the web address where you’ll upload the form, for example https://www.yoursite.com/book.html.

  2. Paste your publishable quote intake key.

  3. Click Check setup. LimoScale confirms the key is valid, the form is turned on and your website address is allowed.

  4. Click Download HTML file and upload it to that address on your website.

  5. Click Download iframe code (or Copy iframe code) and paste it into the page where the form should appear.

Tip

If the form says it can’t submit, run Check setup again. The usual causes are a rotated key or a website address missing from the allowed origins.

Company Settings

Your business details. Your time zone controls how dates, shifts and monthly lead counts work.

Company SettingsNumbers match the steps below
  1. Update your company name, contact email and phone. Your Company ID can’t be changed. When customers reply to a confirmation or receipt email, the reply goes to this contact email.

  2. Choose your time zone.

  3. Paste a logo link, or use Upload logo (PNG, JPG, WEBP or SVG up to 2MB). Your logo appears on the customer payment page and Stripe checkout.

  4. Start typing your office address and pick the matching suggestion so it’s verified. Check Use office address for calculating drive time if hourly quotes should include the drive from your office (see Fleet & Pricing).

  5. Click Save settings.

Terms & Conditions / Reservation Agreement

Paste your terms into Terms & Conditions / Reservation Agreement and click Save settings. They’re printed at the bottom of every Reservation Confirmation email. Leave the box empty and that part of the confirmation stays blank.

Keep formatting simple: start a line with # and a space for a heading, ## for a smaller heading, - for a bullet, wrap words in **double asterisks** for bold, and leave a blank line between paragraphs.

Integrations: GoHighLevel (GHL)

Connect LimoScale to your GHL workflows so every quote, price change, payment, cancellation and recovery offer lands in your CRM automatically.

Integrations → GoHighLevel (GHL)Numbers match the steps below
  1. Open Integrations and select the GoHighLevel (GHL) tab. The badge shows how many webhooks you’ve saved, for example Configured — 7 webhooks.

  2. In GHL, create a workflow with an Inbound Webhook trigger and copy its URL. Paste it into the matching box: New quote, Price update, Payment update, Cancellation, Purchase or Recovery 5% to 20%. Mobile app sign-in code by SMS is optional: app customers sign in with a code LimoScale emails them.

  3. Click Save / replace. The URL is stored encrypted.

  4. Click Send synthetic test to send a sample (no customer data) and confirm GHL received it.

LimoScale quote intake

Further down the GHL tab, turn on quote intake and list your website addresses under allowed origins, for example https://www.yoursite.com. Turn on Auto-send quote to GHL, then click Save quote intake.

Your publishable key appears once. Copy it right away, because your booking forms need it. Rotate publishable intake key makes a new one; forms using the old key stop working until you update them.

Your LimoScale URLs for GHL workflows

Under quote intake, the LimoScale URLs for your GHL workflows box lists the three addresses your GHL workflows call, each with a Copy button: Booking sync (stage, status and driver updates), Recovery offers and Sales KPI. In GHL, use a Custom Webhook action with method POST for each one: paste the URL and add the header X-LimoScale-Quote-Key with your publishable quote intake key as its value. The key tells LimoScale which company the call is for. Lost your key? Click Rotate publishable intake key and update your booking forms with the new one.

Send GHL pipeline stage changes back to LimoScale

When an opportunity changes stage in GHL, LimoScale can update the GHL Stage column in the Booking Center. Copy the Booking sync URL from the GHL tab.

In GHL, create a workflow with the Pipeline Stage Changed trigger, add a Custom Webhook action with method POST, paste the URL and add the header X-LimoScale-Quote-Key with your publishable quote intake key.

Send two fields: quoteId (your Quote ID field) and pipelineStage (the opportunity’s pipeline stage). LimoScale saves pipelineStage as the GHL Stage. Insert both with the Custom values picker rather than typing them, so GHL fills in the real values.

Move a test opportunity, then open Webhook Log and click the booking_sync event to see exactly what GHL sent. If a value shows as {{…}}, GHL couldn’t fill that merge field; LimoScale ignores it and marks the event as failed so you can spot it.

Update booking status from GHL workflows

The same stage sync URL also updates the booking itself. Add a status field to the webhook body:

Lost (GHL opportunity status) cancels an unpaid booking; paid or authorized bookings are never canceled automatically. Re-opening the opportunity puts it back to Quote. "status": "completed" marks the trip Completed. "status": "cancelled" cancels the reservation, even if it’s paid (no refund is issued; handle that in Stripe).

For mobile app trips, confirmed, driver_assigned, driver_en_route and passenger_onboard update what the customer sees in the app and send them a notification. Include driverName, driverPhone, driverVehicle and la_confirmation_number to show the driver and confirmation number.

None of these values are written into GHL Status, and a repeated call is safe.

Abandoned-quote recovery offers

Included in Growth and Pro, or as an add-on. When a customer hasn’t booked, a GHL workflow can offer them 5%, 10%, 15% or 20% off. LimoScale lowers the price on the payment link the customer already has, sets the GHL Stage to Recovery 10% (for example) and sends the matching Recovery webhook back to GHL with the new price.

In GHL, add a Custom Webhook action with method POST to https://limoscale-api-prod.princeossei.workers.dev/public/recovery. Add the header X-LimoScale-Quote-Key with your publishable quote intake key, and send quoteId, new_discount_amount (5, 10, 15 or 20) and current_subtotal (the quote total before the discount).

Only quotes that are still open can be discounted. Booked, paid and canceled quotes are refused, and every attempt appears in Webhook Log as recovery_request. Mobile app customers are notified of the new price in the app.

Booking sync

Turn on Enable booking sync so price updates, payments, captures and cancellations are sent to GHL as they happen. You need a New quote, Price update or Cancellation webhook saved first.

Each company connects its own Stripe account, so customer payments go straight to you. Start in sandbox to test, then go live.

Integrations → Stripe ConnectNumbers match the steps below
  1. Select the Stripe Connect tab.

  2. Click Connect Stripe (sandbox) and complete Stripe’s onboarding. If you leave partway, the button says Continue Stripe onboarding.

  3. Click Check Stripe status. When it shows Ready, run a full test booking with a Stripe test card.

Going live

Under Live Stripe Connect, click Connect Stripe (live) and finish onboarding with your real business and bank details.

Under Active payments mode, choose Live and click Set active mode. New payment links and checkouts charge real cards immediately. Switch back to sandbox any time for testing.

Setup

Your mobile app

Your customers’ iPhone and Android app runs on LimoScale: prices come from Fleet & Pricing, bookings land in the Booking Center, and payments go to your Stripe account.

Before you start

The customer mobile app is included in Pro, or available as a $100/month add-on on Core and Growth. LimoScale support then turns it on for your company and manages its release settings (minimum version, maintenance mode, features and support contacts). Email support@limoscale.com to add it or change those settings.

Signing in

Customers sign in with their email address and a 6-digit code that LimoScale emails them. There are no passwords. A first sign-in creates their account, and it appears under Mobile Users.

Quotes and prices

The app shows your active vehicles and prices from Fleet & Pricing. Before a customer pays, LimoScale prices the trip again on the server, so the app can’t send a lower amount.

Each quote appears in the Booking Center with the Mobile App channel, gets a salesperson through lead distribution, counts toward your monthly leads, and is sent to GHL like any other quote.

Payments and saved cards

Customers pay in the app with a card hold, just like a payment link. Before paying they agree to save their card for trip-related overages. The booking then shows Booked Not Paid, and you capture, refund or bill overages from the booking as usual. See Take payments.

Notifications customers receive

Customers get a push notification when their booking is confirmed, gets a driver, is on the way, is completed or is canceled, whether the change came from the Booking Center, GHL or Stripe.

If an unpaid app quote gets a GHL recovery discount or you change its price with Edit Price, the customer is told the new total and the amount in the app is updated, so they pay the new price.

Round trips

When an app round trip is confirmed, LimoScale creates a separate $0 booking for the return leg (quote ID ending in -return) and sends it to GHL as its own opportunity for dispatch. The customer sees two trips in the app. Canceling the original booking cancels its return leg too.

Dashboard

A live picture of your quotes and bookings: how many came in, how many you won, what they were worth and where they came from.

Dashboard, which opens on All TimeNumbers match the steps below
  1. Pick a date range. The Dashboard opens on All time. Choose Custom Date Range to set your own start and end dates, then click Apply.

  2. Pick a channel to see one booking form on its own, such as Chatbot or Wedding Page.

  3. Click Refresh Analysis to load the newest quotes.

  4. Read the scorecards: Quotes, Open, Lost, Booked, Booking Conversion (booked ÷ quotes) and Booking Value.

  5. Scroll down for the charts: opportunity status and value, conversion rate, booking lifecycle, quotes by channel, and the Google vs organic lead source report.

Tip

A lead counts as Google when it arrived with Google Ads tracking (such as a GCLID). Everything else is Organic.

Tip

On the Dashboard, a booking counts as won once it’s booked, even if the card is only held and not yet captured. The Booking Center’s Won Revenue card counts only paid bookings. A canceled booking counts as lost in both places.

Sales KPI and bonuses

See how each salesperson performs: leads owned, bookings won, close rate and value, plus automatic monthly bonus calculations.

Before you start

Sales KPI is included in Growth and Pro. Bonus tiers and the commission calculator are included in Pro, or as an add-on with Sales KPI. Only Owners and Managers can change Bonus Settings.

Sales KPINumbers match the steps below
  1. Choose a date range.

  2. Pick a salesperson to narrow the performance table and credit events. The scorecards always show the whole company.

  3. Sync Historical Bookings calculates bonus history for every past month and tidies up salesperson name spellings.

  4. Bonus Settings sets revenue commission tiers, close-rate accelerators, booking-count bonuses and the team bonus. Bonus Info explains the rules using your current saved settings, and Bonus History shows past months.

  5. Lead Distribution opens your shift-based lead routing. See the next guide.

How monthly bonuses are calculated

Bonuses are worked out per calendar month from Sales Assisted bookings only. A salesperson’s total is the sum of four parts:

Revenue commission: their credited booking value for the month sets their tier, and that tier’s percentage applies to the whole month’s value, not just the part above the tier.

Close-rate accelerator: a fixed bonus for their close rate (bookings won ÷ leads owned), once they own at least the minimum number of leads you set.

Booking-count bonus: a fixed bonus for the number of bookings won.

Team bonus: when the whole team’s Sales Assisted value reaches your monthly target, everyone who owned enough leads and won at least one booking gets the team bonus.

Changing Bonus Settings recalculates past months the next time you open Bonus History or click Sync Historical Bookings.

Keep booking credit up to date from GHL

Sales KPI reads each booking’s credit, credit type, lead owner and qualifying salesperson. These arrive when you import a GHL CSV, or live through the Sales KPI webhook.

For live credit, add a Custom Webhook action (method POST) to the GHL workflow that runs when a booking is won, pointing to https://limoscale-api-prod.princeossei.workers.dev/public/ghl/sales-kpi, with the header X-LimoScale-Quote-Key set to your publishable quote intake key. Send the quote ID, opportunity ID, booking credit and salesperson fields. Blank GHL merge fields never overwrite saved values, and every call appears in Webhook Log as sales_kpi.

Tip

Self-booked reservations are credited to System and never count toward a salesperson’s bonus. Click a Leads Owned or Bookings Won number to see the bookings behind it.

Lead distribution

Automatically assign each new quote to a salesperson who is on shift, whether it came from a booking form, your mobile app or New Quote. The assignment goes to GHL in the quote itself.

Before you start

Lead distribution is included in Pro, or as an add-on.

Shift-Aware Lead DistributionNumbers match the steps below
  1. Set Enable Shift-Aware Distribution to Enabled and choose your schedule time zone.

  2. Optional: turn on a rotating Saturday or Sunday shift. Pick the first weekend it starts and the hours. Salespeople marked for the rotation take turns week by week.

  3. Optional: use Override to send every new lead to one person for a set time, for example while others are on vacation.

  4. Click Save Lead Distribution.

Add your sales team

Under Sales Team Shifts, click + Add Salesperson. Enter their name, their GHL User ID, their working days and shift hours, and whether they join the Saturday or Sunday rotation.

Leads go to whoever has waited longest since their last lead among people on shift. Leads that arrive when nobody is on shift are marked after hours and stay Self Booked.

Which rule wins

LimoScale checks, in order: an active Override, then the Saturday rotation during its hours, then the Sunday rotation during its hours, then regular shifts. During a rotation’s hours, only the person whose turn it is gets leads. If nobody is in that rotation, leads are marked after hours.

Each quote is assigned once. Saving the same quote again keeps its original salesperson.

Team Management

Add managers and staff, reset their passwords and choose what staff can see.

Team ManagementNumbers match the steps below
  1. Your team list. The Owner can change a member’s role (Manager or Staff), turn them on or off, or click Reset password to email a reset link or set a temporary password.

  2. To add someone, enter their first name, last name and email.

  3. Choose a role. Managers can do everything the Owner can, except add or change team members, set staff permissions and delete all bookings. Staff see only the pages you allow.

  4. Enter a temporary password of at least 14 characters and share it with them securely.

  5. Click Add team member.

Staff permissions

Scroll to Staff Permissions and set each page to No access, Read or Read & write. New staff start with Dashboard (read), Bookings (read & write), Booking Forms (read & write) and Sales KPI (read). Click Save staff permissions.

User limits

Your plan includes a set number of active users, including the Owner. Disabled users don’t count. When every seat is in use, turn someone off first or ask us to add seats. See Plan & Usage.

Mobile Users

Your customers’ mobile-app accounts: who signed up, when they last signed in, whether they get notifications, and their trips. Owners and Managers only.

Before you start

Mobile Users appears in the left menu under Administration once LimoScale support has turned on the mobile app for your company.

  1. The totals show all app accounts: active, disabled, deleted, email verified and with notifications turned on.

  2. Search by name, email, phone or user ID, then click Search.

  3. Filter by account status, email verification or notifications.

  4. Each row shows the customer’s phone, last sign-in, number of notification devices and trips, and status. Moved from old app marks accounts carried over from a previous app.

  5. Click Manage to open the customer.

Managing a customer

Save changes updates their name, sign-in email or phone. Disable account signs them out and blocks sign-in (you can add a reason); Reactivate undoes it. Sign out everywhere ends every signed-in session.

Send test notification checks that notifications reach their phone. Delete account (Owners only) removes their personal details and signs them out; their bookings stay in the Booking Center.

Under Trips, click Open to go to a booking. Every change is recorded in the Audit Log.

Webhook Log

Every message LimoScale sent to or received from GHL, Stripe and your website forms, with the full content, kept for 90 days. Start here when something didn’t arrive.

  1. Filter by source: GHL, Stripe, Website forms or GHL tests. Quotes created with New Quote are logged as quote_admin_portal.

  2. Filter by status to find failures quickly.

  3. Search by quote ID, event or error text.

  4. Under each event you’ll see how it was sent and where, for example POST services.leadconnectorhq.com/hooks/…. Click a row to see exactly what was sent and what came back, including the error. The detail shows the full Sent to or Received on address.

Addresses are partly hidden

Keys and tokens in an address always show as ••••, and long IDs are shortened to their first and last four characters, so you can tell your GHL webhooks apart without the full URL being shown. Events logged before this feature was added have no address.

One cancellation per booking

When you refund or release a payment, LimoScale sends GHL one cancellation. Stripe then confirms the same cancel or refund moments later; that shows as an incoming Stripe event, but LimoScale doesn’t send GHL a second cancellation.

Tip

A GHL 404 usually means the workflow’s webhook URL changed. Paste the new URL in Integrations → GHL. The GHL delivery queue below lets you resend a failed booking update.

How leads are counted

Each new quote from your booking forms, your mobile app or New Quote is a lead for the month, in your company’s time zone. A repeat request from the same email or phone within 30 days counts once.

Your forms never stop taking quotes. After your limit you get a 10% grace buffer, then extra leads are billed per lead. A lead pack or a bigger plan costs less if you go over regularly.
